Mistbits develops and operates Smarta Estate (collectively “Smarta Estate”, “we”, “us” or “our”). This policy explains how we handle personal information when you visit this website, request a demonstration, or use the Smarta Estate water-management platform.

1. Information we collect

Website and demo enquiries

When you request a demo, we collect the details you provide, such as your name, work email, telephone number, organisation, estate name, approximate number of properties and your message. Demo enquiries are emailed to the Smarta Estate team and are not saved in the platform database.

Platform accounts and administration

For authorised platform users, we may process account details such as name, email address, role, company or estate association, login activity and security records. Estate administrators may also provide property, resident and contact information needed to operate their estate.

Metering, operational and billing information

The platform processes water-meter identifiers and readings, property associations, alerts, tariff configurations, billing cycles, invoices, payment records, reports and audit events. The exact information available to a user depends on their role and the features enabled for their estate.

Technical information

Our systems may receive technical data needed to secure and operate the service, including IP addresses, device or browser information, request logs and diagnostic information.

2. How we use information

We use personal and operational information to:

  • respond to enquiries and arrange product demonstrations;
  • create and secure authorised accounts;
  • provide meter monitoring, alerts, analytics, reporting and billing features;
  • support residents and estate management teams;
  • diagnose problems, maintain service reliability and prevent misuse;
  • meet contractual, regulatory and legal obligations; and
  • improve the service using appropriate operational insight.

3. Lawful handling and POPIA

We aim to process personal information lawfully and reasonably in accordance with South Africa’s Protection of Personal Information Act, 2013 (“POPIA”). Depending on the context, information may be handled to perform a contract, comply with law, pursue a legitimate operational interest, or with consent.

Estates, managing agents or other customers may be the responsible party for information they enter into Smarta Estate, while Mistbits may act as an operator on their instructions. Requests about estate-managed account, property or billing information should usually be directed to the relevant estate first.

4. Service providers and sharing

We do not sell personal information. Information may be shared only where needed to operate the service, including with infrastructure, database, storage, communications and email-delivery providers; with an estate or managing agent responsible for the relevant account; or where disclosure is required by law. Providers are expected to handle information only for the agreed service and with appropriate safeguards.

5. Security

We use administrative and technical measures intended to protect information, including encrypted network connections, authentication, role-based access controls, access logging and system monitoring. No internet-based service can guarantee absolute security, and users should protect their credentials and report suspected misuse promptly.

6. Retention

We keep information only for as long as it is reasonably needed for the purpose for which it was collected, to provide contracted services, resolve disputes, maintain required business records, or comply with law. Retention periods may differ between enquiries, account records, meter history, invoices and security logs.

7. International processing

Some service providers may process or back up information outside South Africa. Where this occurs, we take reasonable steps to use providers and arrangements that offer appropriate protection for the information.

8. Your choices and rights

Subject to applicable law, you may ask to access, correct or delete personal information, object to certain processing, or ask how your information is being used. Some information may need to be retained where law, a contract or legitimate operational requirements apply.

9. Cookies and local storage

The public website does not use advertising cookies. The authenticated platform uses browser storage where needed to maintain sessions, preferences and theme settings. Essential technical data may still be processed by the hosting service to deliver and secure the website.

10. Children

Smarta Estate is intended for estate operations and authorised account holders. It is not directed at children. If you believe a child’s information has been provided inappropriately, please contact us.

11. Changes to this policy

We may update this policy when the service or applicable requirements change. The date at the top indicates the latest revision.
